Administrative Assistant (Bilingual Spanish Preferred)

Job Title:  Administrative Assistant (Shared Services)                                                                                                        

Summary:   The Administrative Assistant provides high-level administrative support to assigned company executive(s) by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, writing skills, and scheduling meetings. Will respond to internal customers on the phone and in person, creating and coordinating projects, coordinating and preparing PowerPoint presentations, and assisting with travel schedules. Work involves extensive personal contact with others and that can be of a sensitive and confidential nature. This position requires a high degree of cooperation with others and ability to work under pressure in a fast-paced environment.
 
Essential Duties and Responsibilities:

  • Scheduling
  • Data Entry
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics, writing skills.
  • Conserves Instructor's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains Instructor's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Prepares reports by collecting and analyzing information.
  • Secures information by completing data base backups.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.
  • All other duties as assigned

Qualifications:

  • Education/Experience: High school diploma, or general education degree (GED). Minimum two years experience in an administrative role.
  • Language Ability: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Mathematical Ability: Ability to calculate figures and amounts.
  • Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer Skills: Must be proficient in Microsoft Office (i.e. Excel, Outlook, and Word) and data entry. Excel spreadsheets.
